Property Manager discussing with the tenants | Communication Tips for Property Managers Communication Tips for Property Managers

In today’s fast-paced world, property managers are embracing new and varied means of communicating more effectively with residents to create and maintain a thriving community atmosphere. Whether using a traditional newsletter or the latest AI-enhanced property-management platform, various communication channels are essential in engaging and informing residents. The following communication tips will help property managers explore different options that can enhance resident interaction and promote community cohesion.

A Portal for Residents

One of the challenges facing property managers is a lack of efficiency in communicating information to residents. Email and newsletters are time-tested ways to inform homeowners, but a resident portal has a few additional advantages. It’s available 24 hours a day, and property managers can update it with current information daily if needed.

A software-based online portal can also provide residents with added features such as neighborhood-only discounts and local service recommendations, enhancing their ability to save money and feel supported by community management. Some more advanced resident portals have features that allow residents to control certain aspects of their homes remotely, such as locking and unlocking their front doors, adjusting their thermostats, and entering service requests.

Publish a Regular Newsletter

Community newsletters are one of the most traditional types of resident communication. They offer a way to inform residents monthly about upcoming events, community maintenance schedules, and other useful information. One communication tip for property managers regarding a monthly newsletter is to engage and entertain residents with fun facts about the community’s history or spotlight residents’ local activities and achievements.

Consider also highlighting residents’ contributions within the community and offering formal awards or simple gestures such as a handwritten thank-you note or a social media shout-out. Some property managers may also enhance their community’s newsletter by working with businesses in the area to secure exclusive coupons or discounts available only through the newsletter.

Embrace Social Media

Social media platforms such as Instagram and Facebook are about more than just broadcasting the goings-on in the community. They are also about connecting with residents and building relationships with interested parties interested in buying or renting within the community. If using social media platforms, respond immediately to resident requests or comments so users know the page is active and feel encouraged to continue their engagement. Consider adding contests or social media polls to collect feedback or generate excitement for upcoming community events, which can increase resident interaction and participation.

Resident Feedback

Resident feedback has evolved behind simple suggestion boxes. Digital feedback methods like a resident portal or social media platform can give property managers real-time insights into residents’ evolving preferences and needs. Some of the newer portal software can use AI algorithms to extract feedback trends and identify key improvement areas. Consider implementing a transparent feedback loop that lets residents see which suggestions are being implemented and how they can enhance their trust and satisfaction with property management.

Plan Community Events

Community events can provide residents with a fun outlet and promote a sense of belonging in the community. Another communication tip for property managers is to choose various activities catering to different interests to ensure broad resident participation and inclusivity.

One of the easiest events to plan is a community garage sale, with property management providing ads and signage leading up to the sale and coffee and donuts for residents on garage sale day. Another fun option to build deeper connections and relationships between neighbors is an organized resident talent show, where residents can showcase their hobbies or special skills.

Tailor-Made Communication

Personalizing resident communications can help improve engagement but involves more than just using a resident’s name. Understanding their needs and preferences is vital, allowing for segmenting residents based on common interests or demographics. Segmenting allows for more targeted and relevant communications, and some property management software can now use AI algorithms to help out. The software analyzes resident data and then personalizes and automates communications. This strategy can save time and costs for property managers while making communications more effective and efficient.

Multilingual Support

Language barriers can create a roadblock to communication with residents and limit their access to needed community services. When property managers support multiple languages, they ensure inclusivity and show residents their respect for the community’s cultural diversity. The monthly newsletter, online portal, and social media platforms can offer translations, a “word of the day” in different languages, and other features that provide learning opportunities and create cross-cultural connections.

Create Video Content

Some property managers add video content to their online resident portals or social media platforms as a dynamic way to deliver instructions and information. A video tour can show off individual available units and highlight the community’s amenities and other features. For current residents, consider offering a mix of videos that include maintenance tips and other useful content. As part of emergency preparedness, consider strategies such as partnering with a fire damage restoration service to create content for a fire-safety video and other vendors for additional useful topics. Professional video production companies or videographers can produce polished, professional-quality videos to engage viewers and increase the property’s overall appeal and presentation.

Emergency Preparedness

Emergency preparedness can provide residents safety and clarity in responding to critical situations. Consider providing regular drills or training sessions and publishing tips and guidelines in the newsletter and online for easy access. Some properties go a step further and establish neighborhood emergency response teams. Residents on the teams undergo specialized training, which increases the safety and well-being of the community and fosters a sense of preparedness and responsibility.

Improved Communication Strengthens the Community

As property management strives to create a connected, vibrant community, every communication counts. By embracing varied and innovative strategies, management can lay a foundation for inclusivity, mutual understanding, and cohesiveness among residents. Effective emergency preparedness and other communication initiatives can create an environment where residents feel informed, valued, and empowered. Navigating Multi-Family Property Challenges

Beautiful Multi-Family Property | Top Challenges for Multi-family Properties Multi-Family Property Challenges

Navigating Multi-Family Property Challenges

Multi-family properties are a solid choice for real estate investing, but they also serve as valuable resources for families and communities. A multifamily property offers investors long-term potential for growth, particularly in areas where urban sprawl is transforming the residential landscape. Property management professionals also help people enjoy their communities by ensuring multifamily properties are safe, well-kept, and inviting.

Multi-Family Properties Are Good for Investors, Families and Communities

Although multi-family units are good for families, investors, and communities, some challenges come with managing these properties. Security concerns, maintenance, rent collection, and more present different dynamics when managing multi-family rather than single-family or commercial properties. Thankfully, knowledge and the right tools can easily overcome these challenges.

If you’re a property manager who serves tenants in multi-family dwellings, below are some of the top challenges for multi-family properties, along with solutions:

Conflict Resolution

Tenant conflicts tend to be more frequent when managing various units within a multi-family property. These properties often require tenants to live close to one another, and whenever you have many people in a confined area, you’re bound to run into conflicts.

Even small conflicts involving noise in another unit can boil over with time, so having a conflict resolution system is a good idea. However you decide to set up and implement this system, you should consider fairness and impartiality. This can be challenging when managing hundreds of relationships with different types of personalities.

Anonymity is another factor involved in conflict resolution for residential property management. Failure to protect the identity of a complainant could make the situation worse. At the same time, anonymous reports can be abused by a tenant with a grudge. Your goal should be to resolve conflicts without escalating situations further.

To overcome these challenges, draft a conflict resolution policy and have tenants agree to it upon signing leases. Follow these policies across the board in every conflict resolution scenario to keep treatment of tenant concerns consistent.

Tenant Screening

Tenant screening can be among the top challenges for multi-family properties simply due to the scale of the process. Property managers typically need to screen a handful of applicants in a single-family unit. This alone can be time-consuming, but tenant screening becomes all the more challenging when this process scales to include hundreds or thousands of applicants.

Fortunately, property managers have access to a range of technology tools to overcome these challenges. Property management software can aid in the screening process to speed things up using automation. Prospective tenants can submit required data online, and software can then process this data against various criteria to ensure a good fit. This saves time when dealing with large numbers of applicants.

Maintenance and Repairs

Maintenance and repairs can be another set of challenges when managing a multi-family property. Unlike a single-family property, where you only have to keep track of a single series of maintenance and repair concerns, multi-family properties can develop a range of issues over time in multiple units.

Due to the scale of multi-family property management, you will likely face year-round maintenance and repair concerns across multiple units within a property or complex. Addressing issues like restoration of water damage can be paramount to tenant satisfaction. Likewise, exterior concerns like paint or siding can present ongoing challenges that should be addressed routinely throughout the year.

To overcome these challenges, multi-family property managers are encouraged to implement an inspection system alongside property management software. Artificial intelligence built into today’s property management software can track when maintenance was last performed at a property and even predict maintenance needs before they become major issues.

Rent Collection

Rent collection can be another of the top challenges for multi-family properties. As with tenant screening, the scale of rent collection tasks can become daunting when working with hundreds of tenants monthly. In addition to collecting rent, property managers also have to issue receipts, look up tenant data, ensure cash flow is routed correctly, track tax information for accounting, and more.

Software can once again be a tool to overcome these challenges. Automated rent collection tools allow property managers to accept rent payments online, and receipts can be issued automatically. Using software tools, tenants can also look up their online payment histories 24 hours a day.

Many software apps for rent collection and multi-family property management also handle tax accounting information for property managers. This information can be imported into tax software directly, further saving time and ensuring data accuracy.

Commercial Property Management Best Practices

Commercial building with retail and office space | Commercial Property Management Best Practices Commercial Property Management

Commercial Property Management Best Practices

Commercial property management plays an important role in the economy. While business owners need places to run their companies, property management professionals are hard at work to keep things running smoothly in the background.

Whether you manage traditional office buildings, retail complexes, coworking spaces, or other commercial property forms, a lot of work goes into ensuring tenant satisfaction and a safe environment for all. You have to keep up with the management of the actual property. Still, at the same time, you need to put your interpersonal skills to work when navigating different personalities and industries.

If you’re looking for ways to make your life easier as a commercial property manager, below are some commercial property management best practices that can help you work more effectively and efficiently:

Review Your Standard Lease Agreements Annually

When you first got into property management, you probably spent much time drafting your standard lease agreement or agreements. You probably considered the needs of potential tenants and thought about the long-term implications of each item included in your lease documents.

Although these documents have served you well, now is a good time to review your lease agreements to see if any changes can make it easier to do your job. This is particularly true if you’ve had the same agreements in place for years and haven’t made any changes.

Economic factors, changes in workplace trends, and more can all impact property management over time, and your lease agreements and commercial property management best practices must keep up with the times to be effective.

Now would be a good time to review your standard lease agreement documents to review items and update policies. Make sure you have your attorney review your final drafts to give their seal of approval.

Handle Work Orders in a Timely Fashion

Repair requests and other work orders should always be handled promptly. Effective commercial property managers have systems to ensure this happens, and many today use property management software and even artificial intelligence to keep things in order.

Whether you need to contract with a water restoration company, a general contractor, or another contracting professional, your work order processing system should be as efficient as possible. Commercial property management best practices dictate that work orders and repair requests get addressed quickly to improve tenant satisfaction, but this can also be a legal issue.

If you don’t address commercial property maintenance and repair concerns brought up by tenants, your property management company may be the target of a lawsuit if someone becomes injured. Failure to efficiently address work orders may also cause existing problems to get worse over time, leading to higher costs and more problems.

Have a Schedule for Inspections and Maintenance

With all you do daily as a commercial property manager, it can be easy to let inspections slip by the wayside. After all, if no one is reporting a problem, everything is fine, right?

Unfortunately, you may discover expensive problems brewing without an inspection schedule. Routine preventative maintenance and inspections allow you and your team to get ahead of normal wear and tear before issues like malfunctioning light fixtures or smoke detectors turn into major repairs.

Regular inspections as part of a property maintenance plan can also ensure energy efficiency, especially if you manage older office spaces or retail spaces that haven’t been updated. Older, inefficient fixtures can lead to higher energy costs, and you may be on the hook for these higher costs depending on your lease agreement. Over time, high energy costs due to inefficient fixtures, wiring, pipes, and routing can eat into rental income and make predicting and controlling costs more difficult.

Make Communication a Priority

The most important best practice in commercial property management is to communicate often. Communication is vital between your team and tenants and between your team and vendors, contractors, and other service professionals with whom you work. A communication breakdown often delays responding to work orders, and poor communication can also earn your property management company a bad reputation in the community.

To make communication easier, think about all of the methods of communication at your disposal. Consider talking with tenants to survey them on their preferred methods of communication as well. Email, phone calls, text messages, and standard mail all have their place when it comes to effective communication in property management. Make sure you use the right method for the right purpose to keep everyone up to date on repairs, maintenance, inspections, and expectations.

Involve Your Team

Lastly, involve your entire commercial property management team in decisions. This doesn’t mean you need to allow everyone to make big decisions, but you should keep your entire team in the loop and ask for feedback often.

Every member of your team, from your office staff who work face-to-face with tenants to your contractors who complete repairs and process work orders, should be knowledgeable and passionate. They need to have a vested interest in ensuring tenant satisfaction.

When you communicate clearly with your team, they can provide this same level of communication to your tenants. In turn, you experience greater efficiency in handling tenant concerns and questions, resulting in a more efficient workflow.

Creative Strategies to Boost Tenant Retention

Creative Strategies to Boost Tenant Retention

Tenant retention is one of the keys to maintaining cash flow at a rental property. Vacancy doesn't just harm landlords by making a unit unprofitable for every month it remains empty. Chronic rental vacancies also cost landlords because they require them to spend time and money on marketing and tenant screening. This article looks at the best ways to improve tenant retention.

  1. Create a Safe Setting

Safety has never been a bigger priority among tenants. Unfortunately, many rental properties leave tenants feeling vulnerable. Some ways to make tenants feel safe include:

  1. Having surveillance cameras in place in strategic public areas of a property.
  2. Upgrading locks and deadbolts with the latest technology.
  3. Having visitor protocols in place to prevent entry to tenant-only zones of a property.
  4. Having generators standing by for power outages.
  5. Having plans in place for weather responses or evacuations.
  6. Hiring security guards for larger complexes.
  7. Making sure that all doorbells and call boxes are in working order.

A property owner can also consider having annual "town hall" meetings that address safety concerns among the tenant community. This allows tenants to voice their opinions about how you can make them feel safer. After all, nobody sees the potential for safety breaches like the people living on the property daily. Even landlords who don't have formal meetings can consider opening a special email account or hotline that can be used to voice safety concerns.

  1. Keep Rent Consistent

It's unavoidable that landlords need to increase rents occasionally to keep up with expenses. However, tenants can smell opportunistic landlords a mile away. Play the long game by only making incremental rental increases when necessary. Even tenants who can afford increased rates will often move out of spite or anger when they feel they are being taken advantage of by landlords who are raising prices just because they can. Before deciding about a rent increase, it's important to analyze the potential for increased revenue against the losses if even just 5% of tenants decide not to renew in response.

  1. Incentive Loyalty

There are some easy things landlords can do for their tenants that will keep them in their apartments longer. One painless way to improve tenant retention is to offer to report on-time rental payments to credit bureaus to help tenants build up a positive credit history. This kind gesture can secure a dependable tenant for several years while they attempt to repair less-than-great credit.

Another great way to lock tenants in is to offer discounts when they renew by a certain deadline. As a lease comes to an end, a tenant may begin looking around the area to see what their options are. By giving a tenant a letter letting them know they can save a specific amount by renewing by a certain deadline, you're applying pressure to renew quickly in the kindest way possible! Renewal discounts help tenants feel like they are getting financial benefits. For landlords who feel apprehensive about losing income by offering discounts, it's important to remember that just one month of vacancy for a unit can more than wipe away any potential earnings you'd make at the higher rate.

  1. Be Your Own Quality Inspector

Many long-time renters are so used to "chasing around" landlords to get repairs done that they consider it a breath of fresh air when a property owner takes a proactive approach to maintaining units. Create a calendar for routine inspections that allows you to find maintenance issues before they become big problems. In addition to providing tenants with a better quality of life, this approach also saves you money in the long run by fixing wear and tear, minor leaks, busted appliances, and other common issues before they become expensive problems.

Even more important than the material benefit of staying ahead of repairs is the fact that being concerned about a tenant's living space builds trust. This is especially true when it comes to repairing structural issues or managing mold remediation. In addition to turning off tenants, visible signs of damage and mold cause legal consequences for a property owner.

  1. Train Your Staff in Customer Service

It's far too common for property managers and their staff to act as though they are doing tenants "a favor" every time they interact with them. The truth is that responding to maintenance requests and handling safety concerns are far from favors. These tasks simply represent the property owner upholding their end of the contract! A tenant is far more likely to stay in a rental when they feel like they are receiving good customer service instead of constantly battling just to get what they are legally entitled to through their lease agreement. Some ways to prioritize customer service in the tenant experience include:

  1. Providing specific appointments for scheduled maintenance instead of broad windows.
  2. Ensuring that maintenance staff members always knock before entering instead of merely using their keys to get into a unit.
  3. Providing friendly reminders about new rules or protocol updates in writing.
  4. Keeping office hours that allow tenants to speak with a representative in person.

The importance of simply being heard regarding tenant retention cannot be overstated! While the staff member on duty may not always be able to provide a fast solution for every tenant issue, they can at least assure that the matter will be handled. Remember that a rental is never just a rental to a tenant. While they may not own a unit, the need to feel safe and comfortable in their home can bring strong feelings to the surface.

  1. Remember Birthdays

There's a reason why people who deal in sales routinely send gifts to their clients and leads. These gestures create a connection. How does that translate for property owners and tenants? One simple way to ensure every tenant feels appreciated is to send them a card on their birthday. You can also consider sending a gift card. This simple gesture can be a great way to strengthen the tenant-landlord relationship by making each tenant feel like more than just an anonymous name on a lease.

  1. Create a Sense of Community

Liking your neighbors is a great reason not to move. That's why one fun way to create happy tenants is to host community events. Movie nights, barbeques, pool parties, and other planned events that use your property's amenities are perfect for socializing. If you have a large enough tenant population, it's also worth considering offering ongoing events throughout the month as part of a robust "lifestyle" calendar. Some options might include workout classes, book clubs, dance classes, and skill-building workshops.

Make Your Property a Place People Want to Call Home

The bottom line is that your rental property needs to be the place that people want to return to at the end of the day if your goal is to improve tenant retention. Retaining tenants comes down to creating an environment that's accommodating and safe. If you're struggling with high tenant turnover because your property has earned a reputation for poor upkeep due to visible or odorous mold, it's time to take action. Contact SERVPRO® mold services today to get your property on track to becoming a place tenants are proud to live.

Ensuring Transparency in HOA Management

3/6/2024 (Permalink)

cardboard house, held in a hand. Transparency in HOA Achieving Openness and Transparency in HOA Management

Transparency in HOA governance isn't just a goal; it's a necessity. Find out how to implement open practices that foster a trusting community environment.

Ensuring Transparency in HOA Management

In homeowners’ associations (HOAs), transparency is not just a buzzword. An essential principle underlies the critical trust and accountability HOAs need to govern and maintain a cohesive community effectively. Ensuring HOA management transparency is a worthwhile effort that will pay dividends to all stakeholders over time by implementing a few strategies. The following takes a deeper look at HOAs and how their level of transparency can make or break their relationship with homeowners and the harmony of their communities.

What Is HOA Management Transparency?

When HOA management engages in transparent communication with the community, it has open and honest discussions between HOA board members and homeowners about everything involved in governing the community. This encompasses much information, from financial records to rules and regulations. It also includes insights into the HOA’s decision-making process.

Transparency on the HOA’s part means the board provides homeowners with information that is clear and easily accessible, so they have a better understanding of how their HOA operates and makes decisions. The goal is for homeowners to feel empowered, informed, and confident in their HOA's leadership.

Why Transparency Is Important for HOAs

Transparency is the essential ingredient that creates a well-functioning association for homeowners. Building trust between residents and the HOA makes the community more cohesive and promotes a sense of ownership and accountability. When homeowners can access the HOA’s finances, operations, and decision-making data, they have more information to factor into their decisions about investing in their community. This collaborative relationship enhances property values because prospective homeowners want to live in communities with an effective HOA with clear, fair, and effective governance.

Benefits for All

When an HOA practices transparency, it can lead to many benefits for homeowners and the community. It builds goodwill with residents by fostering a culture of inclusivity and collaboration, letting residents feel heard by the HOA and feel they are a valued part of the decision-making process. The HOA may also experience fewer conflicts and misunderstandings with homeowners, minimizing disputes within the community.

When homeowners feel they know what goes on with the HOA’s operations and finances, they understand the reason behind rules and regulations. This insight increases the likelihood of compliance and harmony in the community’s living environment.

The Pitfalls of Poor Transparency

When a community feels its HOA management transparency is lacking, it often results in frustration and confusion. Residents feel the board excludes them from crucial decisions that affect them and does not inform them about essential community matters. Poor transparency can erode trust between homeowners and the association, increasing misunderstandings and conflicts. Homeowners feel more resistant to following rules and regulations and lose faith in the HOA leadership.

For example, a lack of transparency can create poor communication and issues addressing community problems such as water leaks and damage. A burst water pipe in a common area that causes damage to a home requires a coordinated effort between the homeowner and the HOA. Poor communication on the HOA’s part can cause delays in reporting incidents and poor coordination of water damage cleanup efforts. Miscommunicated repair timelines, insurance claims, and other issues can lead to increased costs and potential legal battles over who must absorb the costs and responsibility.

Another critical area affected by a lack of transparency is the HOA’s finances. Not promptly making financial data available can lead homeowners to lodge accusations of embezzlement or fraud. Suspicious homeowners will not have an interest in collaborating with their HOA, which jeopardizes community harmony, undermines the HOA’s effectiveness, and diminishes property values.

Strategies that Enhance HOA Management Transparency

Several strategies can help an HOA enhance transparency with its community. First, and most importantly, is establishing clear channels and practices for sharing information with homeowners. This might include regular community meetings, newsletters, and a portal that provides homeowners easy access to documents and community updates.

An HOA can also increase transparency and trust by providing detailed budgets and financial reports, which provide homeowners with insights into how the HOA allocates their dues. Technology, such as social media groups or emails sent to all homeowners, can also help improve communication and facilitate transparency among the community and its residents.

More Strategies: Take a Collaborative Approach

Creating transparency is a process that requires effort and input from both the board and homeowners. The HOA can encourage homeowners to attend meetings, participate actively in community affairs, and voice their suggestions and concerns. The board should also implement ways to actively seek feedback and be open to constructive criticism from residents. Transparency is a shared responsibility, and when homeowners and the board work together to address and solve issues, it builds a more accountable, stronger community.

Better Communication Builds a Harmonious Community

Transparency involves all stakeholders working toward a communicative and inclusive environment that fosters more harmonious living. Placing a priority on activities that build transparency requires effort but can have a large payoff that continues to improve over time. HOA boards can enhance trust and minimize conflicts by embracing open communication and providing access to relevant documents and decision-making processes.

Increased transparency empowers residents and enables them to work collaboratively with the HOA. Tenant Screening Tips for Property Managers

2/26/2024 (Permalink)

Landlord handing keys to tenant in apartment. Effective Tenant Screening Tips for Property Managers

A positive tenant-landlord relationship is very important for successful property management. That's why taking time to screen tenants to find the right fit is essential. While renting can sometimes feel transactional, the reality is that responsible, consistent tenants can be counted on to act as co-stewards of a property. Life is better for tenants and landlords when proper, legal vetting occurs. So, how do you screen tenants for your rental properties? Here are five screening tips for property managers to consider when searching for great tenants!

1. Make Sure You Know Your Responsibilities as a Landlord or Property Manager

Are you familiar with the Fair Housing Act? This piece of legislation is must-read material for anyone who screens tenants or reviews rental applications! The Fair Housing Act protects people from discrimination based on race, national origin, religion, sex and sexual orientation, family status, or disability. While discriminating against someone for any reason may be the last thing you would ever do, it's essential to become familiar with housing laws to avoid the appearance of discrimination. According to the law, discrimination can come in the form of refusing to negotiate for housing, setting different terms or conditions for rental, imposing different rental rates, and more. Once you create your tenant screening blueprint, be sure to use a consistent method across the board to avoid the appearance of using different criteria when vetting different tenants.

2. Use a Basic Questionnaire for the First Round of Screening

Before you invest time and money into running professional background checks, offer a short screening questionnaire to make sure that a tenant's goals and needs are compatible with what your property offers. With the Fair Housing Act in mind, consider putting together a brief tenant-screening worksheet with the following questions:

  1. What is your monthly income?
  2. Are you currently employed?
  3. How long do you intend to stay in the property?
  4. Have you ever been evicted from a rental property?
  5. Have you ever broken a lease?
  6. Can you provide a reference letter from your current or previous landlord?
  7. Do you have pets that will be living in the unit?
  8. Do you agree to a background check that includes a criminal history check as part of the tenant screening process?

If a tenant passes the first vetting phase, have them fill out a complete rental application. The application should include a line for the applicant to sign off on having a background check conducted. Getting consent in writing on the application provides the green light to move forward!

3. Verify Employment and Income

For a landlord or property manager, one of the main goals of screening is to verify that a tenant can pay rent on time. Letting a tenant get in over their head with rental payments that do not leave money left over for life basics isn't doing anyone a favor. One of the best tenant screening tips for property managers is to pre-screen tenants for "free" by simply being honest and transparent in your rental listing.

Include the monthly rental cost to allow tenants to scratch it off their list if they know it is not within their budget. Once you have a tenant application, comparing the monthly rent payment to a potential tenant's income becomes vital. The best way to do this is to verify income using pay stubs. However, property managers can also request W-2 forms, ask for a letter of verification from an employer, or require bank statements.

Generally, landlords utilize the rent-to-income ratio to decide if a tenant can reasonably afford rent on a property. There is some leeway for the ratio based on whether you live in a high-cost or low-cost area. Landlords may feel more comfortable with tighter ratios in cities with high rents. However, most landlords feel uncomfortable approving rental applications when the monthly rent is less than 30% of the renter's income.

4. Conduct the Right Background Checks

There's no question that you want peace of mind when choosing potential tenants! In many ways, inviting someone into your rental property is like inviting them into your home. That's why the law gives you the right to investigate someone before you approve a lease. Here's the blueprint for background checks you can't skip:

  1. Criminal Records: A criminal record check can pull up information regarding felonies, minor offenses, and other "dings" on a person's record. However, landlords and property managers need to be aware that the presence of a criminal record doesn't necessarily make it legal to deny a tenant application. In California, the nature and date of the crime both matter. For example, denying a rental application based on a decade-old driving offense might not be lawful. However, denying an application due to a recent arson conviction could be legal. Remember that only arrest records that resulted in conviction are relevant to the tenant screening process!
  2. Previous Evictions: A history of evictions can be considered a valid reason to deny a rental application.
  3. Previous Bankruptcies or Poor Tenant Behavior: Landlords are legally empowered to set criteria for tenant approval based on factors that have a reasonable business purpose. This can include a poor credit score and bankruptcy. Even a poor reference from a previous landlord that reveals that a tenant consistently failed to pay rent on time can be a valid reason to deny an application. However, the best way a landlord can stay protected is to have a no-bankruptcy policy drafted up in the tenant requirements that apply to all applicants.

It's important to let tenants know that you require background checks. In fact, landlords should be ready to present a copy of a criminal history check to an applicant upon request. Additionally, landlords should be accepting of mitigating information provided by potential tenants with criminal histories.

5. Remember That Tenants Are Also Screening You

Remember that it takes a high-quality property to attract high-quality tenants. That's why the final tip on the list of tenant screening tips for property managers is ensuring your property is always putting its best foot forward! Nothing scares reliable tenants away like the sight of disrepair or water damage. If your property has a history of water issues due to neglect, weather events, or previous tenant behaviors, consider flood restoration before listing the property or opening it up for showings. In addition, property managers need to be clear and transparent regarding building policies that affect tenants' lives. Let tenants know ahead of time if smoking and pets are permitted.

Effective Ways to Resolve HOA Complaints

2/19/2024 (Permalink)

Apartment and condo buildings Transform your approach to handling HOA disputes with our detailed guide.

Living in a homeowners' association (HOA) managed community offers residents many benefits but is not without challenges. From parking issues to abandoned doggy doo in shared areas and other problems, the variety of complaints covers a lot of ground. When residents express their grievances to the HOA, each complaint warrants communication, careful consideration, and effective strategies to resolve the issues. When the HOA board focuses on how to resolve HOA complaints instead of ignoring or minimizing them, the result is a better community for everyone.

Parking Issues

In some HOA communities, street parking may be in short supply, causing complaints about the limited parking spot availability. Sometimes, people park on the streets in ways that block neighboring driveways. Residents may also park their cars in guest spots instead of their driveway or garage. They might also park an extra, rarely-used vehicle on the street and not move it for extended periods. Finally, unauthorized vehicles that don't seem to belong to residents, but take up valuable street or guest parking, also trigger complaints.

HOAs must provide clear signage to state the community’s rules for parking and enforce those rules or regulations consistently for them to have an effect. Other potential solutions include adding more parking areas designated for guests or issuing parking permits to monitor and effectively manage community parking.

Noise Problems

Neighbors can disrupt the peace by generating excessive noise, from loud music late at night to using noisy equipment in their yard or garage early in the morning. Another common complaint is continual barking from dogs who spend much time in the backyard.

When considering how to resolve HOA complaints about noise, HOAs can establish specific quiet hours for the community and encourage respectful communication between neighbors to resolve issues. Consider implementing a formal process for residents to lodge noise complaints for repeat disturbances.

Problems with Pets

The barking dog is cliché, but many other complaints also come up about neighborhood dogs. Some residents like to walk their dogs off-leash, which can endanger other pets, especially smaller breeds. Some neighbors do not pick up after their pets and leave pet feces on neighbors’ lawns or in common areas for others to deal with.

To resolve these complaints, establish pet regulations and enforce them consistently. Consider installing pet waste-bag stations with trash cans in key areas so residents can use tools to clean up after their pets. In the community newsletter, offer training resources and educational articles to inform pet owners and consider a program to require pet registration.

Neglected Maintenance

Residents may become concerned and lodge complaints if they feel the community upkeep is not up to par, such as overgrown common-area landscaping that blocks walkways, burned-out lights left unrepaired, and buildings with dirty or aged exteriors.

To resolve these issues, put maintenance on a regular schedule and include routine inspections. Promptly handle issues reported by residents and ensure that the HOA can cover maintenance costs by allocating sufficient budget dollars to the community’s upkeep.

Architectural Violations

Neighbors often complain when they see a resident changing their property without proper approval. These alterations can include unauthorized plantings in the front yard or paint colors that are not on the “approved” list. It also includes any structural modifications that have not received approval. For example, a homeowner may add a deck to their house without adhering to the HOA’s defined guidelines.

To resolve these complaints, the HOA can educate residents on the appropriate architectural guidelines for the community. It can also provide homeowners with resources and steps to get approval for home modifications. Conduct regular inspections and institute penalties for any violations to enforce compliance with the guidelines.

Misuse of Community Amenities

This common complaint usually involves reports of community amenities being abused or misused. Examples include residents having parties in common areas without getting proper approval or non-residents using pool and barbecue areas or the community clubhouse without prior permission. Some communities with locked pool areas have issues with residents making key copies for non-residents and their children to use the pool.

To resolve these complaints, the HOA must monitor the amenities regularly to enforce HOA rules. To prevent misuse and keep non-residents from accessing the amenities, consider a reservation system and access controls such as keys or key cards where possible. Use an electronic lock to track which keys are used to access the areas, and assign serial numbers to keys to prevent duplication.

Neighbor Disputes

Conflicts between neighbors can trigger complaints, such as disagreements over shared areas, property boundary disputes, and noise issues. After a disaster situation, such as a fire that involves more than one home, the HOA, and homeowners may have disputes over which insurance company should cover the fire damage and safety concerns that arise during fire restoration work, such as who covers the costs, work delays and questions about the work quality.

When resolving HOA complaints, maintaining open, clear, and transparent communication is the best way to minimize disputes and misunderstandings. The HOA can offer mediation services and other resources for neighbors with difficulties resolving a dispute amicably. Communication is also key for issues such as fire restoration involving multiple homeowners and the HOA.

Taking prompt action and coordinating between homeowners, insurance providers, restoration contractors, and the HOA board can ease many concerns and ensure residents that the damaged properties will be restored to pre-fire conditions as quickly and satisfactorily as possible.

Ensuring Harmony in the Community

In many ways, the HOA acts as a peacekeeper for the community, making it vital to proactively manage and address resident complaints. With clear communication, diligence, and a focus on fair outcomes, the HOA can offer constructive solutions to resident complaints. Enforceable regulations and other strategies can minimize conflicts while upholding the community’s collective well-being. Let SERVPRO Arcadia be part of the solution by offering high-quality, professional fire restoration and other services to HOAs to restore property values and family routines. Marketing Ideas for Property Managers

Home and computer Effective Marketing Techniques for Property Management Success

When you really think about it, running a successful property management business is all about marketing. A piece of real estate is what it is – a piece of real property. The role of property management companies is to market the features of real estate to generate demand from high-quality tenants and manage the needs of each tenant and property.

Property owners need to show prospective tenants why they should choose a particular property over other options, but more importantly, why they should want to choose a particular property over others. In a sense, this type of marketing is about demand generation just as much as lead generation.

Unfortunately, property management marketing ideas can be hard to come by when you’re busy. Trying to put all of your ideas together in one plan can feel like you’re always playing catch up, especially in high-competition areas. While you’re busy trying to find innovative marketing ideas, you also have to contend with repairs, tenant concerns, rent collection, tax and insurance issues, and more.

We’re Here to Help

To help you save time and expand your marketing efforts, we’ve put together some simple property management marketing ideas you can begin to implement this week. Remember that property marketing in the real estate business is an ever-evolving journey, and no one solution will be a silver bullet; however, these marketing ideas, when implemented with consistency, can go a long way in generating leads for months or even years to come.

Rely on Your Website to Do the Work for You

If you’re serious about property management, you no doubt have a website for your company. While having a website is a great start, you won’t get the most out of it without investing in digital marketing. Search engine optimization (SEO) is a crucial component for digital marketing and website success in the crowded property management field, and local SEO is even more important.

SEO and your website work hand in hand to bring more relevant traffic to your site. Also, SEO strategies can help your property management website rank higher in search results. This means getting your site and properties in front of local people who are already searching for places to lease.

Resources like blog posts add to your website's value and create opportunities to develop backlinks that point to your site. Search engines typically value websites with lots of high-quality backlinks, and your backlink profile can be a ranking factor when your website comes up in local search results for properties for lease.

Consider Online Ads

Another way to attract digital leads is to place web ads through search engines, social media, and industry publications. Online paid ads can be effective property management marketing ideas because they allow you to choose who sees your ads and on what platforms.

Most digital advertising platforms let you select various factors to create a target audience. Some of these factors may include age, location, income level, and hobbies or interests. By selecting the right demographic information for your target audience, you can ensure that the right people see your ads for your location and type of property.

Use Social Media

You can also use social media marketing to engage with prospective and current tenants. Social media platforms like Facebook and Instagram allow you to showcase your properties and present opportunities to show off your company’s personality and style.

Social media profiles are great places to list openings, discuss the benefits of communities around your properties, or update tenants on the latest news. For instance, if you’ve recently had water damage restoration completed at a multi-unit rental property, use social media to share before-and-after pics so that your tenants can see that you’re on top of things. This type of social media content can also help to strengthen the bonds between your company and its tenants.

Solicit Online Reviews

Online reviews are great property management marketing ideas as they allow your tenants to do the marketing for you. Soliciting online reviews from happy tenants and displaying these reviews on the web is a fanatic way to build social proof. People tend to trust the opinions of others when it comes to making purchasing decisions, and a glowing online review can go a long way in building trust with minimal work on your part.

You’re encouraged to be cautious, however, as negative online reviews can be quite detrimental to your plans. Unfortunately, people tend to only leave online reviews when they’ve had negative experiences, and if someone sees many negative experiences associated with your company, they’re likely to steer clear.

If you come across negative reviews, you can combat them by responding promptly but always remaining professional. Demonstrate in your response that your company is committed to making things right if something goes wrong on your end, and encourage private contact between your company and the person who left the review.

Partner With Local Businesses

If you’re looking for offline marketing ideas for your property management business, or if you’re seeking hybrid marketing ideas that combine online and offline strategies, consider partnering with local businesses. For maximum effect, try to find businesses that complement your own.

For instance, consider what your tenants may need when they start planning a move. A moving or supply company would likely fit the bill here, so see what you can do to establish relationships with moving companies or supply companies in the area.

You can then try to find ways to market your business through these partnerships. An example of this may be when you agree to provide branded promotional materials as welcome gifts to a moving supply company. That moving supply company then hands these out to people purchasing packing supplies. The potential exists for someone to see your property management company as they are packing to move and consider contacting your company to see if opportunities are available.

Measure Your Success

No matter what methods you use to market your property management company, measuring success is important. Keeping track of metrics on a regular basis allows you to see what’s working and what may need adjusting. Having access to metrics and knowing what you plan to measure and why can help your company focus its marketing strategy for more effective results.

Cybersecurity Basics for Property Managers

2/9/2024 (Permalink)

Cyber security on laptop Explore essential cybersecurity strategies for property managers.

Property managers wear many hats whether they're responsible for large commercial complexes, multiunit residential properties, mixed-use facilities, or any other property. From managing occupancy rates to handling day-to-day operations or even hiring a water damage restoration company after a major incident, the eyes of tenants, employees, and stakeholders all turn to the property manager. With all of that on their collective plates, it's easy to see how cybersecurity takes a back seat for most property managers.

However, the unintended consequence of that lack of prioritization is a significant increase in the potential liability should a cyber incident occur. Cyber attackers frequently target property management companies, real estate companies, and other related industries Due to the sheer quantity of sensitive information that they possess. For that same reason, data breaches in those industries come rife with negative consequences. You could be facing civil liability, regulatory fines, restitution, and the reputational damage your company would incur from a reported breach.

What Information Should Be Secured?

Without basic training in cybersecurity for property managers, it's likely that they don't even know why they could be targeted for a cyber attack. Property management systems, in particular, provide a mouthwatering target for cybercriminals. Tenants' personal information is sometimes one-sided, with maintenance requests, operational technology, contract details, etc. Cybersecurity risks abound, and high-risk industries like real estate must become proficient in managing those risks.

Property Management Cybersecurity Basics

To that end, we've compiled some of the cybersecurity best practices you can implement to protect your sensitive information from being compromised in a data breach.

Conduct Cyber Risk Assessments

We just mentioned how prevalent cybersecurity risks can be, and you can't possibly mitigate those risks if you don't know where your exposure is. Regular cyber risk assessments should be conducted whether you use a vendor or your in-house personnel. You should evaluate what kind of data you store and utilize, how it's transmitted and backed up, who has access to the sensitive information, and what monitoring solutions are in place. Once you have identified the risks, you can then focus on narrowing the attack surface by enforcing things like multifactor authentication.

Educate All Staff

Just like training in cybersecurity for property managers is essential, all employees need to have a basic understanding of cybersecurity as well. This should include training on possible threat vectors, sensitive information that is at risk, your enterprise's cybersecurity policies, and why those policies are in place. Including the reasoning behind your policies as a part of your training regimen not only makes your staff well-informed but also increases the likelihood that they will then comply with those policies. It's also critical to realize that this training is an ongoing effort. Initial training should be provided during onboarding, but cybersecurity training should be a recurring effort that includes hands-on practical exercises and tests.

Establish Role-based Permissions

Regardless of the size of your company, you should implement system access controls using role-based permissions. This means that instead of applying individual permissions to each user as you add them, you create defined roles within your network that have preset access limits and permitted functions assigned to them. As you create new users, you assign them a role, and all of the permissions associated with that role are automatically applied.

This also reduces the risk of making a mistake when creating a new user and has the added benefit of streamlining the process during onboarding. These roles should be defined using principles of least access, meaning that personnel should only have access to the sensitive data and other information that they truly need to accomplish their assigned tasks. All users should require multifactor authentication to access company networks.

Audit Your System

This applies to both real-time monitoring and true audits. You want to make sure that network activity is within normal parameters. This means tracking and auditing access logs, purchases, and other critical databases to ensure that suspicious activity is not missed. You can leverage software solutions to help you accomplish this task, and some of the best programs out there can learn the patterns of activity across your systems and identify behavior that is outside system norms.

Purge Data and Users

Depending on your enterprise's area, you may encounter applicable data privacy laws that govern what sensitive information or personal data you can request, maintain, and use, as well as rules governing how long you can hold onto that data. Many data privacy laws also require responsible disposal of that sensitive information once it is no longer needed or must otherwise be purged. In addition to cycling out old personal data for tenants and others, you should immediately lock out employees upon their separation from employment. Even if the parting was amicable, the potential for cybersecurity risks with former user accounts still being active is far too high. That doesn't begin to consider the malicious insider threat that could be present.

Shockingly, most companies, including real estate property management organizations, do not use encryption regularly. When you have sensitive data, effectively using encryption should be one of the first steps you should take. End-to-end encryption may seem unnecessary, but when you hold payment data for rent payments, personal data of tenants, contractors, employees, and other sensitive information, many regulatory bodies require that you use encryption. Even if they don't, failure to properly protect this information during a data breach can lead to serious consequences. Should you suffer a data breach, it's far better that the attackers find themselves to be the new owners of what appears to be gibberish rather than lists of tenant bank accounts and routing numbers.

Regarding real estate and property management, cybersecurity isn't your only concern. If you suffer a devastating leak, fire, or even storm damage, SERVPRO cleaning can get you back on track and back in your home or property. With residential and commercial experience, SERVPRO has the knowledge and equipment to make your property look like the incident never happened. We can even help manage the insurance process. Multi-Unit Property Management Best Practices

2/6/2024 (Permalink)

Photo of apartment building Learn essential tips for multi-family property management.

Managing a multi-unit property is a big job but can also come with big rewards. According to some salary sites on the web, property managers for multi-family unit properties can earn upwards of $85,000 annually, and this is on top of the satisfaction that comes along with knowing you’re helping others to live richer, fuller lives.

Although multi-family property management best practices are very similar to those used in managing single-occupancy dwellings, some special considerations come along with managing multi-unit properties. If you’re considering moving into management for multi-family properties or are considering upgrading your current property management career to include multi-unit properties, below are some best practices to keep in mind:

Establish Clear Communication From the Outset of Tenant Relationships

The most important thing you can do as a multi-family property manager is establish and support clear communication from the outset of any lease agreement. Maintaining clear communication can help your property management company avoid legal issues and can help avoid conflicts surrounding matters like rent payments. When you support strong communication, you have the opportunity to avoid tenant relationship breakdowns and conflict.

It’s also worth noting that you’ll likely end up working with many different people over the course of your career, all of whom will have their own personalities and styles of communication. To make things run smoothly between all of these different personalities, it’s a good idea to have a written policy on tenant communication in place. This document isn’t meant to govern how tenants communicate with staff, but instead, it should lay out acceptable forms of communication for different concerns.

For example, matters regarding rent or repair disputes should be submitted in writing to establish a paper trail. Conversely, you may decide it’s best to discuss matters involving neighbor disputes in person with a witness present. No matter how you decide to lay out your communication policy, document it and present your requirements to tenants before they sign leases.

Take Care of Maintenance and Repair Requests Quickly

Addressing maintenance and repairs promptly according to the terms of a lease agreement is vital for maintaining trust with your tenants. This is especially true in cases where property damage may affect tenants' quality of life, such as after a fire. You’ll want to seek out fire damage restoration services quickly in a case like this since damage after a fire may pose a health hazard to tenants. Also, by taking care of property maintenance issues quickly, you build trust with tenants and reduce disruptions to your daily workflow.

Maintenance and safety issues may also be matters of the law. Most states have specific laws regarding tenant rights and landlord obligations. If you or your property management company do not uphold a tenant’s rights or fulfill your obligations, the issue may end up in court. Losing a legal battle can result in fines, fees, and damage to your professional reputation. When you stay on top of maintenance and repair requests, you avoid these issues and may even boost your reputation.

Have a Screening Process in Place for Tenants

A comprehensive tenant screening process is vital among other multi-family property management best practices. When you screen tenants for suitability, you reduce the chances of dealing with headaches and conflicts over issues like rent collection, and you’re less likely to experience tenant retention challenges.

Tenant screening is also good for tenants so they don’t end up renting units for which they are not financially suited. Of course, you must follow state and federal housing guidelines when screening tenants, but having measures in place to ensure a thriving community will benefit you and your tenants.

When designing a screening process, set reasonable requirements that factor in the possibility of past mistakes. No one is perfect, and people change. You need to protect the integrity of your property and look out for the safety and well-being of all tenants. Still, you don’t want your screening process to become so stringent that it alienates otherwise viable renters.

Use Tech Tools for Efficiency and Safety

The use of technology like property management software is also among the top multi-family property management best practices for real estate professionals. Successful property management is all about efficiency when dealing with multi-family dwellings. As a property owner or manager, you will likely be dealing with numerous requests from multiple tenants daily, so anything you can do to maximize productivity during your workday is good. The software allows you to keep track of all of your rental properties from one place, and many programs provide access to budgeting tools to monitor cash flow.

Security technology is also a good investment for multi-unit properties. These types of properties are often large and sprawling, meaning there’s lots of ground to cover. Installing security cameras and quality lighting in strategic areas around your entire property can serve as a deterrent to criminals, and it can also be a benefit if a matter needs to be investigated in the future.

Consider installing door access technology that lets tenants come and go by swiping an electronic keycard. This can prevent unauthorized individuals from gaining access to your properties. When integrated with property management software and Internet of Things (IoT) technologies, these elements add an additional layer of security to protect tenants and your properties.

Strategies for Effective HOA Vendor Selection

1/24/2024 (Permalink)

Tools surrounding a house Effective HOA vendor selection made easy! Explore our expert tips on due diligence, cost-effectiveness, and maintaining strong vendor relationships.

Selecting vendors for a Homeowners Association (HOA) is a multifaceted task combining analytical decision-making and nuanced human judgment. This intricate process entails weighing various dynamic factors to ensure optimal vendor choice.

Leveraging HOA Documents for Guidance

The vendor selection process begins by consulting the HOA’s governing documents. These documents are critical as they outline the standards and regulatory compliance requirements that potential vendors must meet. Thoroughly reviewing these documents is vital to ensure all criteria are considered, and no essential aspect is overlooked.

Systematic Vendor Screening Approach

A structured screening process is essential for effective vendor evaluation. This includes developing a vendor evaluation matrix to assess licenses, certifications, qualifications, and insurance coverage. The matrix is a tool to determine if vendors align with the HOA's standards and local regulations, aiming to minimize liability risks by selecting vendors who can deliver competent and compliant services.

Advantages of Soliciting Multiple Bids

Obtaining bids from several vendors is recommended rather than choosing the first option. This tactic provides insights into the market’s competitive pricing and service quality. Issuing a Request for Proposal (RFP) can help get detailed proposals, ensuring vendors understand the work scope, expectations, and other critical details.

Vendor Proposal Assessment and Meetings

Post-proposal submission, scheduling meetings with each vendor to discuss their proposals and address any queries is important. Decisions should not be based solely on price; the emphasis should be on the quality of service and the vendor’s ability to meet the HOA's specific needs.

In-Depth Reference Checks

Reference checking is a crucial phase. It involves reviewing online feedback and conversing with previous clients to assess the vendor's reliability, work quality, communication skills, and approach to resolving complaints. This comprehensive evaluation helps construct a detailed picture of each vendor's performance and dependability.

Clear Contractual Agreements

Having clear contract terms is crucial to prevent disputes. Contracts should clearly outline the work scope, timelines, payment terms, and consequences of contract breaches. Regular reviews of existing vendor contracts are also significant to ensure they remain relevant and compliant with regulatory changes.

Choosing Specialized Vendors

Certain tasks, such as stormwater management, require specialized expertise. Selecting vendors with the necessary knowledge ensures complex systems are maintained properly and compliant with regulatory standards.

Building Partnerships with Vendors

Choosing the right vendors is akin to forming partnerships with entities that share the HOA's commitment to maintaining high standards. Specialized service providers, like a mold damage company, are vital in sustaining the community's quality and safety.

Detailed Process for Vendor Selection

  1. Initial Review of HOA Documents: Examine the HOA’s governing documents for guidance on standards and compliance requirements.
  2. Developing a Vendor Evaluation Matrix: Create a matrix to assess critical aspects such as licenses, qualifications, and insurance coverage.
  3. Soliciting Multiple Bids: Obtain several bids for a comprehensive market view. Use RFPs to get detailed and comparable proposals.
  4. Meeting and Evaluating Vendors: Schedule discussions with vendors to review proposals and clarify doubts. Focus on both price and quality.
  5. Conducting Thorough Reference Checks: Investigate past performance by examining online reviews and speaking with former clients.
  6. Drafting Clear Contracts: Ensure contracts are explicit regarding scope, timelines, and payment processes to avoid misunderstandings.
  7. Periodic Review of Contracts: Regularly update contracts with existing vendors to reflect any changes in regulations or requirements.
  8. Opting for Specialized Vendors: Choose vendors with specific expertise to ensure compliance and effective management for complex tasks.
  9. Partnership Approach with Vendors: Aim for a collaborative relationship with vendors who align with the HOA’s standards and values.

Final Thoughts: Ensuring Optimal HOA Vendor Selection

The selection of HOA vendors is a critical task that requires a blend of analytical and subjective decision-making. By following a structured approach that includes thorough document review, comprehensive vendor screening, soliciting multiple bids, and conducting detailed reference checks, HOAs can make informed decisions. Clear contracts and choosing specialized vendors for specific tasks further enhance the effectiveness of this process.

Ultimately, the goal is to form partnerships with vendors like SERVPRO of Arcadia, who provide

residential restoration services, and are committed to maintaining high community standards, thereby ensuring the well-being and satisfaction of the HOA community.

Ways to Prevent Water Damage After a Leak

1/17/2024 (Permalink)

Water damage to walls, floor, baseboards occurred from a leak Learn how to prevent water damage effectively after a leak in your home. Essential tips to safeguard your property and avoid costly repairs. Act now!

Preventing Water Damage After a Leak: Expert Tips

Plumbing leaks are some of the most common problems in homes and businesses across California and the U.S. While some leaks are only mildly annoying, others can turn into plumbing disasters, resulting in water damage, wood rot, and expensive property repairs.

According to data from the Insurance Information Institute, as reported by This Old House, close to 15,000 homeowners across the country experience the effects of water damage daily. The average insurance claim for water damage is somewhere in the neighborhood of $12,000, meaning this type of damage is not trivial when it comes to your wallet.

Preventing Water Damage When Faced With a Leak

The good news is that there are ways to prevent water damage after a leak. In virtually all cases, the sooner you address a leak, the better your chances of preventing water damage, but it’s always important to take some action. Leaks tend to get worse over time; even a small leak can become a flood if left unaddressed.

If you’re concerned about protecting your property, below are some ways to prevent water damage after a leak:

Call a Professional

Often, the best way to stop water leaking into walls and floors is to contact a professional at the first sign of trouble. Some signs of water damage can include damp carpets or water stains on walls, but you may also notice mold growth along baseboards or a musty, moldy smell in the air.

If you believe that you have mold growth, you may need more than just a plumber. While a plumbing company can deal with the leak itself, a mold damage company is going to be the solution for water damage repair involving mold growth. These companies may also help remove water pooling after a serious leak or flood, but you will need to ask your mold remediation technician about this option when you schedule service.

Turn Off Your Water

If you can’t get a professional to your home quickly, you will want to stop leaking water at the source. This usually involves turning off your home’s main water supply, often located under a grate in your yard or at a shut-off valve in a garage, closet, or basement. This can be a good option when you can’t determine how water enters your home.

For example, you may have a leak in your water heater, but that water heater may be located in an area of your home that isn’t easily accessible. Without the ability to check for standing water around your water heater, choosing to shut off the water until a professional can address the situation is often the best idea. Water leak detection services utilize specialized equipment to track down the source of leaks so that targeted repairs can be made.

Contact Your Insurance Company

Your home insurance policy may cover water damage, but this varies from provider to provider and policy to policy. Flood insurance covers serious water damage caused by major leaks in some cases, but you will likely need to add this as special coverage as most general homeowners’ insurance policies don’t include flooding under general claims. Although flood insurance will not directly prevent water damage after a leak, it may cover the cost of repairs related to water damage caused by a leak.

Unfortunately, you can’t add flood insurance retroactively, so you must weigh the pros and cons of carrying this coverage. For many homeowners, the cost of additional flood insurance is worth the peace of mind that comes with knowing that you won’t have to worry about expensive repairs in the event of a water emergency.

Check and Maintain Your Plumbing on a Scheduled Basis

It’s also a good idea to check and maintain your plumbing on a regular basis. Older hoses for things like washing machines that get used often tend to develop leaks after many years of service, and changes in water pressure inside plumbing pipes can cause joints to loosen and leak over time.

By checking and maintaining your plumbing pipes, hoses, and fixtures, you can prevent water damage caused by leaks. Remember that leaks typically cause structural damage slowly over time, and it can be easy to miss signs of damage until something major happens. You can protect your home by creating a plumbing maintenance schedule or having a professional plumbing company maintain your home’s plumbing system.

Install Sensors and Sump Pumps

You can also consider installing wireless sensors to help you get notified of leaks, standing water, and flooding. These devices measure water flow and pressure and can send alerts to your smartphone if a leak or flooding has been detected. Moisture detection sensors may be placed around areas where pipes are located but can also be placed in bathrooms and kitchens.

A sump pump may also be a good idea if you have a basement. These devices automatically pump out excess moisture in low-lying areas of your home if flooding occurs after a leak becomes serious. As an added benefit, sump pumps can prevent flooding in basements during heavy rainfall if moisture seeps into basement areas of your home.

Vigilance is the Key

Although water damage following a leak can seriously threaten your home's structural integrity, vigilance can prevent disasters. By checking your plumbing often, watching for signs of water leaks, and partnering with professionals at the first sign of trouble, you stand a better chance of protecting your home and your health. If you do experience a leak, taking care of it quickly can typically prevent serious damage from occurring, but it’s always a good idea to have a professional check questionable areas for your own peace of mind.

2024 Trends in Commercial Property Management

1/4/2024 (Permalink)

Trends in Commercial property management. A commercial building. Stay ahead of the curve with 2024's Commercial Property Management Trends.

Commercial property managers have had their hands full over the past few years, responding to the pandemic and all the resulting changes. In 2024, as the commercial property rental landscape continues to evolve and adapt, property managers can take proactive steps to find and take advantage of the opportunities within these challenges.

The dynamics of the economy, changing tenant expectations, and continual technology innovations have combined to create a profound transformation in commercial real estate. Innovation and adaptation are the friends of commercial property managers, and the following points discuss some of the trends to look for in 2024.

Advancements in Technology and Automation

Technology for Tenants

As people shop online more and package stealers continue proliferating, many properties have added smart-locker storage for tenants to receive their packages safely. This trend is expected to grow, and tenants will look for additional technology integration, such as SMS notifications and other tech-related options that enhance their convenience.

Keyless entry is another growing trend that tenants appreciate. More commercial properties offer digital amenities like free WiFi and 5G integration, and this trend is expected to continue. For areas where theft is an issue, video doorbells and security cameras can set your property apart. Landlords and property managers can also use security cameras to manage and monitor the property around the clock remotely.

Operational Software

Operating commercial properties involves many moving parts, and commercial property management trends in 2024 will continue to emphasize automating, streamlining, and improving workflows with SaaS and cloud-based software platforms. Cloud-based property management software connects operational teams online, increases effective communication, and offers tenant portals for more efficient repair requests and other tenant needs.

Managing properties using virtual tools such as Zoom interviews or property tours is becoming a norm, and integrating AI and IoT will continue to grow. IoT, or Internet of Things, refers to tools that typically use WiFi or Bluetooth to automate activities. Property managers are implementing IoT tools such as automated or smart lighting, smart laundry, smart locks, automated lawn care, and smart temperature control.

AI will enhance property management by refining processes such as more personalized tenant experiences where AI anticipates tenant needs and preferences. Property management software may also use AI to improve virtual property tours to help tenants more effectively imagine themselves in the unit. AI tools may offer insights that drive coordinated smart building systems, such as assisting in adapting their operation to environmental conditions based on the property’s occupancy patterns. These adjustments can save on energy consumption and other resources while reducing costs.

Continued Evolution of Tenant Preferences and Market Dynamics

More Multifamily Units

The rents for multifamily units often cost less than those for single-family dwellings, driving increased demand for additional multifamily units. Renters are also migrating to states with lower taxes, and while they want the lower rents of a multifamily unit, they also want more spacious homes with additional amenities. Tenants for all types of rental properties also demand more services and amenities in exchange for the rising cost of rent, including high-speed internet, in-unit washers/dryers, and HVAC.

More Property Management Services

Demand for more professional property management services should continue to increase in 2024. Tenants expect and desire the expertise of knowledgeable management, especially when dealing with property repairs, disputes, and other issues in multi-unit settings. Tenants also demand the technological tools often provided by professional property management, such as online portals for repairs, questions and issues, and the ability to pay their rent online.

Commercial property management trends in 2024 also emphasize using tools like improved and streamlined tenant screening processes and advertising available units on multiple platforms, including social media.

Updating Business Strategies and Addressing Economic Factors

Managing Costs to Improve Profit

In 2024, commercial property managers will benefit from prioritizing profitability while keeping costs under more strict control. Acquiring new properties can increase revenue and profits through operational synergies. In contrast, new services like outsourcing to high-quality vendors such as a reliable restoration company can save on labor costs and keep properties in tip-top shape to command improved rents. Adopting technology such as specialized property management software can also reduce labor costs by automating some of the back-office administrative work of property management.

Considering Economic Factors

During rising inflation, property managers must constantly monitor and reduce costs wherever possible. Additionally, the new year is a great time to focus on scaling up the business by implementing growth-hacking strategies and considering refinancing options to take advantage of potential federal interest rate cuts.

For 2024, although there is no guarantee, sources predict the Fed will continue to reduce mortgage interest rates. Savvy property managers and owners will poise themselves to refinance more expensive loans and leverage the increased value and higher equity in existing properties to make additional investments. Lower interest rates often stimulate economic activity, which may create opportunities to improve occupancy rates and achieve higher rents, especially if the rental market remains tight.

Political and Regulatory Challenges

Taxes (and Other Costs) Go Up While Loopholes Disappear

Commercial property management trends in 2024 include strategies to offset the effects of rising taxes and closing financial loopholes for commercial property landlords. Property managers can expect changes such as government measures attempting to capture more real estate-related revenues. Governments may pressure property managers and landlords to lower or normalize rents to aid housing crises in higher-priced housing markets.

Additionally, landlord insurance for rental properties is undergoing changes that affect tenant evictions and other issues while becoming more costly. Commercial property managers can potentially lower the cost of the policy by increasing the deductible, prioritizing as many safety features on the property as possible, and requiring renters to carry renter’s insurance. Safety features include updates like carbon monoxide sensors, tankless water heaters, and fire-resistant roof coverings.

Political Motivations

Politicians may focus on a growing homelessness problem and the lack of affordable rents in many areas. Leading up to the 2024 election, some politicians may highlight a need to enforce regulatory compliance among landlords and property managers as part of their platform.

A Consolidating Industry

The entry of large corporate property management companies may challenge independent or smaller property management firms. Sometimes, these larger companies have more extensive resources to provide cost-effective services, increased marketing resources, and value-added options such as financial reporting for multi-unit properties or property portfolios. These firms may also offer lead-generation services and additional brand-building for properties under their management.

Win by Staying Ahead of the Changes

Successfully navigating the changing climate of commercial property management relies on property managers recognizing trends and proactively embracing and managing them. While preparing to take your properties into 2024, consider these trends and how to extract opportunities from them to improve and grow your business.

From integrating technology that automates operational work and provides additional tenant amenities to anticipating and staying ahead of economic shifts, vigilance is critical. Reducing costs by outsourcing work to commercial restoration services and other third parties is one of many strategies that can help you leverage innovation and position your business to handle the changing landscape in property management more effectively.

Stay agile and informed; the coming year of challenges and opportunities will reward your property management business with success and prosperity. We Stand with Lahaina: A Community’s Generosity Crosses the Pacific

10/31/2023 (Permalink)

Collage of donation drive photos from beginning to end, including the flyer shared to the community. This is a photo collage on top of the flyer that sparked a wave of donations to flow into our warehouse, which were then packed and shipped to Maui.

In the wake of natural disasters, the resilience of the human spirit often shines the brightest. The devastating wildfires that tore through Lahaina, Maui, in August 2023 were a heartbreaking reminder of nature’s unpredictable wrath. But as Lahaina faced the aftermath, over 2,400 miles away in Los Angeles, a beacon of hope was being kindled.

Community Comes Together

For many, watching the news coverage of the Lahaina wildfires evoked a profound sense of sorrow and helplessness. However, our team here at SERVPRO of Arcadia, Alhambra, and Pasadena North, it ignited a fervent determination to lend a helping hand. Recognizing the urgent need for support, the team mobilized the community in Los Angeles with a clarion call to action: a donation drive throughout September.

From LA to Lahaina: Shipping Love and Support

The response was overwhelming. Families, businesses, and individuals from all walks of life stepped up, donating essential items ranging from non-perishable food, clothing, and medical supplies to toys, books, and household goods. Every item, a symbol of a community's unyielding support for another in their time of need.

What made this drive especially heartwarming was the shared understanding that it wasn’t just about sending items; it was about sending love, solidarity, and a promise that Lahaina was not alone in their recovery journey.

Gratitude from the Islands

The donated goods, carefully packed and labeled with love, were shipped off to the families in Lahaina. The reception on the island was deeply touching, with many residents expressing their heartfelt gratitude. For some families, these packages represented a fresh start, a glimmer of hope amid the ashes and rubble.

For Lahaina, a town renowned for its close-knit community and Aloha spirit, the shipments from Los Angeles reinforced the belief that the spirit of 'ohana (family) extends beyond island borders. It’s a testament to the global community that comes together, time and time again, in the face of adversity.

A Lasting Impact

While the donation drive was centered around a month-long effort, its impact will be felt for years to come. As Lahaina begins the long process of rebuilding, they do so knowing they have friends thousands of miles away, ready to support, uplift, and assist in any way possible.

From SERVPRO of Arcadia, Alhambra, and Pasadena North, a huge mahalo (thank you) to those all those who made this happen, bridging the distance and reminding us all about the power of community, kindness, and shared humanity.

In times of disaster, it’s often said that every bit helps. But sometimes, it's more than just "a bit" – it's a whole community's love and care being shipped across the vast Pacific. And that makes all the difference.

Guide to Prepare for Hurricane Hilary - Southern California

8/18/2023 (Permalink)

Preparing for a Category 5 Hurricane: A Comprehensive Guide

When a Category 5 hurricane is on the horizon, time is of the essence. These powerful storms bring with them catastrophic winds, torrential rain, and life-threatening storm surges. Preparation is critical not only to protect your property but, more importantly, to ensure the safety of your family and yourself. Here's a concise guide to help you prepare:

1. Stay Informed:

  • Monitor local news and weather channels. Trusted sources such as the National Hurricane Center (NHC) will provide regular updates and advisories.
  • Download weather apps. These can give real-time notifications and tracking.

2. Evacuate if Advised:

  • Listen to local authorities. If they recommend or mandate evacuation, do so promptly.
  • Plan your route. Know multiple routes in case one is blocked.
  • Inform someone. Let a family member or friend outside the danger zone know where you're headed.

3. Create an Emergency Kit: Stock up on essentials including:

  • Water and non-perishable food for at least three days (one gallon of water per person per day).
  • Medications and a first aid kit.
  • Flashlights, extra batteries, and a battery-operated radio.
  • Important documents (insurance, medical records, bank account numbers) in a waterproof container.
  • Cash (as ATMs might be down).
  • Chargers for your devices, possibly solar or battery-powered.

4. Secure Your Home:

  • Install storm shutters or board up windows using plywood.
  • Clear your yard of any potential flying debris such as lawn furniture, tools, and toys.
  • Secure doors.
  • Consider installing a sump pump if flooding is a concern.

5. Plan for Pets:

  • Have a pet emergency kit with food, water, and medications.
  • Ensure your pet has a secure carrier or leash.
  • Know pet-friendly shelters or hotels on your evacuation route.

6. Protect Your Vehicle:

  • Fill up the gas tank. Gas stations could run out or lose power.
  • Store it in a garage or secure area if possible.
  • Avoid parking under trees or in low-lying areas prone to flooding.

7. Communicate:

  • Establish a communication plan with family. Everyone should know who to contact and where to meet if separated.
  • Use text or social media to let others know you're safe. Phone lines might be jammed.

8. Be Cautious After the Storm:

  • Stay indoors until local authorities declare it's safe.
  • Avoid floodwaters. They may be contaminated or electrically charged.
  • Inspect your home for damage. Document any issues for insurance claims.
  • Be wary of fallen power lines and report them to the utility company.

A Category 5 hurricane is an extreme weather event, but with thorough preparation, you can significantly increase your chances of weathering the storm safely. Remember, while possessions can be replaced, lives cannot. Safety first!

Tackling Mold Growth after Rains

6/20/2023 (Permalink)

Rainy days bring much-needed water to our gardens and help cool down warm temperatures. However, they can also bring an unwanted guest into our homes: mold.

The problem with mold is that it thrives in damp conditions. When heavy rains strike, water can find its way into your home through leaks in your roof or windows, or even through your home's foundation. These damp conditions are a breeding ground for mold spores, which can rapidly multiply and spread if left unchecked.

Not only is mold unsightly, but it can also cause serious health issues, such as respiratory problems, allergic reactions, and in severe cases, even neurological damage. Furthermore, it can cause substantial structural damage to your home, affecting its value and livability.

At SERVPRO of Arcadia, we understand the urgency of addressing mold problems. If you've recently experienced heavy rain and are worried about potential mold growth, our team of certified experts is ready to help.

Our comprehensive mold remediation process begins with a thorough inspection to detect any signs of mold. We then isolate the affected areas to prevent the spores from spreading during the removal process. Our team utilizes advanced techniques and equipment to thoroughly clean and treat the area, ensuring the mold is eliminated.

But we don't stop there. At SERVPRO of Arcadia, we believe in proactive prevention. We'll help identify areas in your home vulnerable to water damage and provide you with effective strategies to prevent future mold growth.

Remember, mold is more than an unsightly nuisance. It's a potential health hazard and a sign of water damage. After the rain, don't let mold spoil the freshness. Call on SERVPRO of Arcadia – your partner in mold remediation and water damage restoration.

Water Damages in the Summer

6/16/2023 (Permalink)

Summertime: the season of sunshine, barbecues, and family vacations. However, for many homeowners, it can also be a season of unexpected water damage. Whether from unpredictable storms, increased humidity, or HVAC system leaks, summer brings its own set of water-related challenges.

While rainstorms are usually less frequent in summer, they often come as heavy downpours that can quickly overwhelm gutters and seep into basements. Regularly cleaning your gutters can mitigate this risk, but sometimes the volume of water is simply too much to handle. In these cases, our team at SERVPRO of Arcadia is here to assist with swift and comprehensive water damage restoration services.

Additionally, your air conditioning unit can be a significant source of water damage in the summer months. With constant use, the condensation line can easily get blocked, leading to leaks or even a full-blown flood. Regular maintenance checks are crucial to prevent such situations.

But, when the unexpected does occur, don't despair. Our expert team has the skills and technology to handle any water damage situation. We offer efficient drying, cleaning, and restoration services, using state-of-the-art equipment to ensure your home is returned “Like it never even happened” and as quickly as possible.

Remember, water damage doesn't take a summer vacation, but with proactive measures and a reliable restoration partner in SERVPRO of Arcadia, you can enjoy a worry-free season.

Rainy Floods

12/3/2021 (Permalink)

Even though we live in sunny California, we still get our fair share of rain in the winter time. Might not feel like much, but with the right amount of rain in even one day, floods can happen if you are not prepared.

Floods can come in through damaged roofs, causing roof leaks. Rain can also enter and flood your home if your windows have been improperly sealed or through door thresholds.

It is hard to really think about preparing for rain when we get so little of it but it is always better to be overly cautious then under prepared.

Here are a few tips SERVPRO would like to provide for you:

  • Make sure all windows and sliding doors are shut before rainfall, if you are going out of town especially. Rain can happen at random in California and you want to be ready.
  • Check your gutters and make sure they are cleared.
  • Make sure all door thresholds are properly sealed.

In the case of a home emergency give SERVPRO of Arcadia a call and we will be there to help!

Christmas Tree on fire Keep your home safe during the holidays!

With Christmas only days away SERVPRO of Arcadia would like to share some tips to keep your home safe from any possible fire damages.

Your Christmas tree is the biggest factor to be aware of during this season, more so if you plan to have your tree up longer than a month.

  • Make sure to always keep your Christmas tree watered and spray the leaves as well; tree fires most commonly occur when the tree is too dry.
  • Keep your tree places away from all flames such as fireplaces, stoves, and space heaters.
  • Be sure to keep candles away from your tree at all times.
  • Try not to use more than 3 stands of holiday lights in order not to over load the outlets.

As always, SERVPRO of Arcadia is open 24/7 even on Christmas to help in the unfortunate event of fires, water damages and more. Call (626)447-4128 for any questions or assistance.

Tips on Storm Damage

11/9/2021 (Permalink)

SERVPRO Logo "Keep your eye on the storm"

Did you know that floods are the most common natural disaster in the U.S.?

Heavy rainstorms can cause significant flooding, overflowing levees or dams, contributing to flash floods and mudslides. Although, California does not commonly experience heavy rain from time to time. This could potentially put property like your home or business at risk.

Tips to help avoid flooding for your home or business:

    • Prepare your property by installing rain gutters and other drainage systems. (Clean out rain gutters frequently.)
    • Understanding the flood risk in your area and fix any leaks IMMEDIATELY.
    • Extra roof protection by investing and installing a rubber roof underlayment (waterproof barrier that goes under the shingles and protects the roof from water intrusion).

Tips for drivers during the rainy season

    • Avoid cruise control (This feature works great in dry conditions, but when used in wet conditions, the chance of losing control of the vehicle can increase).
    • When driving, slow down and leave room in front of you (slowing down suddenly during wet conditions is critical and can increase a car’s chance of hydroplaning).

If you do experience flood damage in your home or business SERVPRO of Arcadia is here to help leave it, "Like it never even happened."

What Causes Water Damage?

11/9/2021 (Permalink)

There are many different ways a water damage can occur in your home, from a broken pipe to a/c systems. We do ours best to maintain our home items but sometimes the inevitable happens.

Here are the top 5 causes of water damage:

  1. Leaking or Busted Pipes
  2. Plumbing Issues
  3. Faulty Household Appliances
  4. HVAC Units
  5. Clogged Gutters

Some less likely, but still possible causes of a water damage can be

  • Toilet Overflow
  • Sewage Back-Ups
  • Laundry Washer Overflow

While for the most part it sounds easy to be able to maintain these house hold items, sometimes we can not help it when accidents happen. So in the event something like this happens to you, SERVPRO will always be there to help, anytime, anyplace, 24/7.

Condo Complex Gone Wrong!

11/9/2021 (Permalink)

Real Job Photos Kitchen Water Damage

When condos are not properly maintained sewage back ups and pipe leaks are bound to happen. One of our property management clients experienced severe water damage to several units in  the condo complex they manage. It all started when the top unit's sink drain line clogged, causing water to travel in to multiple units below.

The unit which caused the loss had significant damage to hardwood flooring, walls, cabinets, vanities, and bedroom carpets. Due to the fact that condos are constructed directly above each other, this caused damage to the units below in their ceilings down to their walls and into their floors as well. Some Unit owners had contents that were damaged in which had to be inventoried for total loss and salvaged items packed up.

Refrigerator Line Leaks

10/21/2021 (Permalink)

Do you have a rodent problem in your home? Rats and other pesky rodents can do more damage than stink up your home and eat food that has been left outside. SERVPRO is not a rodent control company but we do deal with the aftermath of what rodents can do to your home!

Rats, often times hide in small dark area away from the people in the home. Particularly behind your refrigerator, and that is where the important water and power lines come from. That's where we come in and clean up the water and repair the damage.

  • Swap out the old fashioned fire candle to light up your Jack-O-Lantern with battery powered candles or glow sticks
  • If you do end up using fire candles please keep them away from any drought tolerant pants or fires.
  • For the trick-or-treating children: teach them to stay away from lit pumpkins, do not kick them or move them in anyway
  • Use a flashlight when out getting your sweet treats!

According to the National Fire Protecting Association (nfpa.org)

    • From 2014-2018, an average of 770 home structure fires began with decorations per year.
    • More than two of every five (44%) of these fires occurred because the decorations were too close to a heat source, such as a candle or hot equipment.
    • More than one-third (36%) of these fires were started by candles.
    • More than one-fifth (22%) of the decoration fires started in the kitchen; 16% began in the living room.

Water Damage Process

9/17/2021 (Permalink)

The aftermath of a water, fire, sewage or mold related loss can sometimes be confusing. We are here to help you understand the process and explain all the steps involved when dealing with damages to your property. Each property, customer and client is treated differently depending on the type and extent of damages.

Here is the typical process we follow when you call in to our office with a water damage:

  1. Intake - We gather all contact, insurance and property information from you such as; Owner’s info, Loss Address, Contact info and insurance claim number. We ask questions like; Cause of Loss, Affected Rooms, types of flooring, etc…
  2. Scheduling - We schedule an initial inspection appointment with you within the hour of your phone call. If it’s not an urgent matter, future appointments are accepted.
  3. Inspection/Arrival Date - upon arrival we will assess the damages starting from the cause of loss. We will take moisture readings, photos and measurements of all affected areas and document the scope of work to be performed. If the damages are urgent, such as standing water, collapsed ceiling etc.. , we will immediately extract water, clean up and set up drying equipment.
  4. Insurance Approval - We take all the information gathered during the initial visit and send it to your insurance for coverage confirmation and approval to proceed.
  5. Demolition (if necessary) - When demolition is required, we gain approval first and schedule a crew to perform the removal of affected and damaged material
  6. Dry Out - Upon completion of demolition, equipment is reset to dry out the framing materials of your property.
  7. Completion - Once all materials have reached a drying goal, we do a final clean up of the areas, pick up equipment and document the moisture readings. We gather that information again and provide everything to your insurance for final billing.

We are happy to take the headache of dealing with all of this away from you. Our office is highly trained in walking you through the process every step of the way. Any questions you may have, please feel free to contact our office at 626-447-4128.

SERVPRO and Matterport!

9/15/2021 (Permalink)

SERVPRO of Arcadia now uses Matterport! Matterport is a 360 camera and software that allows us to capture detailed photos of your property. We piece those photos together to create a “virtual tour” of the property. The virtual tour then becomes available for us to share with you and your insurance company to review loss details, conditions and take proper measurements.

Due to COVID, many of us prefer virtual tours and Matterport has allowed us to provide that to our customers and insurance adjusters. We simply share the link and you will be able to click through the property and feel as if you were there in person!

Our Production Manager takes a preliminary Matterport scan of the property prior to any demolition or work performed. After completion of work, he visits the property again for a final scan. We use the two scans for reconstruction estimates and proper billing.

Matterport has become a vital part of our business because it gives our customers the complete feel of their project from start to finish.

Water Damage Turned into Mold

9/14/2021 (Permalink)

bathroom with mold on walls top to bottom Extensive mold discovered

Ever wonder what would happen if you left a water damage unaddressed? Well, this would be your worst case scenario. When water damage is not properly mitigated or ignored for several months (even years), mold is almost guaranteed to grow and multiply into what you see here.

It is best to be sure to monitor your plumbing systems to catch any sign of water damage early on. Proper maintenance of pipes, faucets, toilets, sinks, etc.. is very important in preventing mold from growing.

When dealing with mold in your home it is very important NOT TO:

  • Touch or disturb the mold.
  • Blow air across any surfaces with visible or suspected mold growth.
  • Attempt to dry the area yourself.
  • Spray bleach or other disinfectants on the mold.

Thankfully, our technicians are certified in Applied Microbial Remediation by the IICRC. They have extensive experience in mold remediation and could handle any size remediation. It is recommended that you always let a professional assist with Mold Remediation.

Feel free to contact SERVPRO of Arcadia at 626-447-4128 for more information on how to help you with your mold remediation.

Let's conserve our water!

8/25/2021 (Permalink)

Drought in California Drought in California

California is currently suffering one of the worst droughts and in order to conserve the water we have we must do our part. Our conservation efforts can make a huge impact on the quality of our environment. We may feel like we are such a small piece of a larger pie, but if each one of us contributed to making changes it would help “minimize water waste, rebuild our underground aquifers, prepare for the uncertainties of climate change, and minimize the harmful effects of drought” (water.ca.gov).

According to the California Department of Water Resources, here are a few ways we can contribute to water conservation:

Indoor Conservation Tips

  • Fix leaks, including leaky toilets
  • Install high-efficiency toilets, aerators on bathroom faucets, and water-efficient shower heads
  • Take shorter (5 minute) showers
  • Track your water bill and meter to curtail water use
  • Turn off water when brushing teeth or shaving
  • Use dishwashers and washing machines with full loads only

Outdoor Conservation Tips

  • Plant drought-tolerant/resistant plants and trees
  • Recycle indoor water to use on plants
  • Refrain from watering your home landscape when it rains
  • Replace your grass/turf with water-wise plants
  • Use a broom to clean driveways, patios, and sidewalks instead of water from a hose
  • Water your outdoor landscape earlier in the day when temperatures are cooler

Hoarders Clean-Up

7/9/2021 (Permalink)

Photo of Living / Dining Room full of contents During a water mitigation call, crews discovered the hoarder condition as shown above

According to The Mayo Clinic, “Hoarding disorder is a persistent difficulty discarding or parting with possessions because of a perceived need to save them. A person with hoarding disorder experiences distress at the thought of getting rid of the items. Excessive accumulation of items, regardless of actual value, occurs.” Many people with hoarding disorder do not find their habits to be a problem. Hoarded items are often things others would throw away or look at as junk or garbage such as old newspapers, junk mail, or packaging.

Hoarding can lead to homes filled with extreme clutter to full capacity from years of accumulation, making living conditions unsanitary and crowded. Bugs, fleas, rats, and other vermin may be present, at which point an exterminator would need to be called. At times, hoarding may spread to outside the home as well, to storage facilities, or even the garage or yard.

SERVPRO of Arcadia encounters hoarding situations several different ways. Often, we are called for a fire or water loss and find the hoarding situation when we arrive on-site. We will communicate with the insurance company regarding their contents coverage, and after approval, contents can be disposed of, packed out and possibly cleaned, dried, and stored by the SERVPRO of Arcadia or relocated to a storage facility so work on the fire or water loss can begin.

Another way we encounter hoarding jobs is through calls from landlords, case workers, real estate agents, or family members, often after the death of a loved one. In these situations, the crew will see if they should look for any items of importance while they clear the property out of all possessions. Sometimes family members will come and try to help the hoarder sort through their contents as well.

Each case is very different, and hoarding jobs are often sensitive situations, but SERVPRO of Arcadia is here to help make it “Like it never even happened.” If you encounter a hoarding situation at one of your properties or with your insureds, call  SERVPRO of Arcadia today.

Common Causes of Fire Damages

7/9/2021 (Permalink)

Photo of burnt Living Room House fires caused by electricity are some of the most dangerous fires. Check out this blog for tips to prevent this.

With fire season quickly approaching, we here at SERVPRO of Arcadia wanted to share some information with our community. It is so important, especially here in California, to be prepared for a fire in your home. Most fires we encounter are accidental, but here are some tips to help reduce the damages these fires can cause.

Some accidental fires that occur are most commonly caused by:

  • Cooking Equipment
  • Heating
  • Smoking in bedrooms
  • Electrical Equipment
  • Candles
  • Curious Children
  • Faulty Wiring
  • Barbecues

That is why we strongly recommend taking full precautions, in order to keep your loved ones and property safe at all times. Here are some helpful tips:

  1. Never leave the kitchen unattended when the stove is on. Keep close watch of pots and pans that can quickly overheat and can potentially ignite a fire.
  2. Make sure heating equipment wiring is in good condition and have it maintained yearly. Place electric heaters at least one meter away from any objects and furniture.
  3. Avoid smoking indoors. Not only is smoking a health hazard but it is one of the most common causes of fires.
  4. Make sure all electrical equipment is functioning properly and all cords are intact. Using GFCI outlets are recommended to prevent electrical fires.
  5. Never leave candles unattended, especially around small children. Always remember to turn candles off after every use.
  6. Children can be very curious, it is important to keep them safe by removing any flammable substances from their reach.
  7. Replace faulty or damaged wiring.
  8. Extinguish barbecue grill flames after every use.

Cupped Floor

2/25/2020 (Permalink)

Hardwood and laminate flooring are a bit more complicated to maintain compared to ceramic tile. One must remember to only use limited cleaning solution to prevent the floor from absorbing to0 much liquid. The reason being that leaving a liquid on the surface for an extended period of time can lead to “cupping” also known as “edge-warping." Floor “cupping” or edge- warping” can be reversed if the wood is dried in a timely manner, if it remains moist it can lead to irreparable damage such as staining, wood-rot, mold growth, and "buckling." There are a few visual and physical cues that will let you know the floor is damaged. Visually, the edges of where the wood floor links together will be rising like how tectonic plates meet to form a mountain, also known as "cupping." Physically, when you walk over the floor it will feel unleveled and "bumpy."

Precautions to take when maintaining wood flooring

  • Control and limit how much liquid is used when cleaning the floor
  • Keep diligent and dry up any accident spills as soon as possible
  • Do not place plants that must be regularly watered on top of the flooring

No matter how large or small the damage may be, we here at SERVPRO of Arcadia are confident that our team can get the job done! Our most recent project takes place at the Westfield Mall located in Arcadia, Ca. Large commercial jobs like this, have to be dealt with extreme caution due to the high volume of foot traffic that flows in and out of the mall. Whenever our technicians are on the field,  they take into consideration the environment they are working in, so that they can figure out how they need to approach each job. Every job is different and unique in its own way. Especially when dealing with large commercial losses. Staying one step ahead of the operation allows us to provide the best quality work.

Restore vs. Replace

1/22/2020 (Permalink)

At SERVPRO of Arcadia we strive to, "Restore vs Replace" whenever possible. One of the ways we achieve this is by drying in place. Instead of removing hardwood flooring that has sustained water damage, we use the Floor Mat System to quickly and effectively dry the affected material.

When water seeps into hardwood flooring if not addressed immediately and properly, this will result in floor buckling. The next steps of drying the hardwood floor are crucial because this determines whether or not we can salvage the floor. To avoid this from occurring we place drying floor mats and tent the affected area with our state of the art drying equipment.

The benefits of having our equipment set up as soon as possible allows for us to restore instead of replace. Our goal at SERVPRO is to leave it, "Like it never even happened."

You Can Never Be Too Safe

1/21/2020 (Permalink)

A fire can happen on your property at any time. We here at SERVPRO of Arcadia provide around the clock services 7 days a week. If you need us, we'll be there. What separates us from other restoration companies is that, when we receive the call from you we immediately assemble a work crew and send them your way. As a SERVPRO employee, our priorities are to ensure the job is done right the first time and consistently update our client on the progress of the job. The reason we do this, is because more often than not your home is the biggest investment you make. Therefore, we do everything in our power to ensure the customers happiness and leaving it, "Like it never even happened."

Are You Covered?

1/20/2020 (Permalink)

SERVPRO of Arcadia get's a lot of questions about insurance and if a loss is covered. Our staff is fully trained to know how to answer these questions. We are not insurance agents, but we have a lot of experience with several different types of claims over our 35 years in business. Each claim is treated individually. We take our time getting all the information about the loss and determining what the best course of action would be. We walk people through each step of the way.

Now for important tips for your insurance policy:

  1. Confirm you have an endorsement for sewer backup coverage. Sewer backups cause more damage than a regular water damage. As a restoration company, we also have to protect our employees with personal protective equipment, which includes additional charges as well.
  2. If you own an older home or building, make sure you have code upgrade insurance god forbid something happens that you need to upgrade your entire electrical system or plumbing system. Both systems can become extremely costly, so for a little bit extra a month in insurance, it is worth it.
  3. Additional Living Expense (ALE) is what is used if you have to move out of your house for a while to get the home rebuilt after any type of damage. ALE is used for hotels, food, or even a long term rental home. As you can imagine, this can become very pricey as well.
  4. If you are renting, have renters insurance, especially if you are in a multi-unit facility. You may never believe you will have a loss, but what if your neighbor falls asleep with a pan on the stove and it catches fire. Your entire apartment's contents may be non-salvageable. Your renter's insurance is what pays you back for your contents.
  5. When going to get renters insurance, be realistic on the price range of all of your personal belongings. Remember all the small items, as well. One bottle of spice is $3, but if you have 100 of them, that is $300. The money accumulates quickly, so do not skimp on the insurance.
  6. There are things in life you can get for cheap, insurance should not be one of them. Take your time, find the best agent, and get the right coverage.

SERVPRO of Arcadia is here to help with any questions you may have.

Commercial Water Loss

1/20/2020 (Permalink)

We received a call from a valued customer who had experienced significant amount of water damage. The cause of this loss was due to a break in the kitchen supply line which comes directly down from the upstairs break room. The water began to seep through the sub floor and eventually made its way to multiple offices. SERVPRO of Arcadia was onsite in under an hour and immediately started extracting water. The following day our crew was onsite continuing the demolition of affected walls and flooring. Our next phase will consist of allowing the structure to dry with the help our dehumidifiers and air movers. This will prepare the building for the reconstruction phase. At the end of the day we helped put this customer back in business leaving it, "Like it never even happened."

Flooded Basement

1/17/2020 (Permalink)

A homeowner in Arcadia, CA called SERVPRO concerning a water loss due to a fire sprinkler pipe that broke. As a result, four feet of water flooded the basement, affected the walls and content that were also in the basement. Our SERVPRO technicians knew exactly what to do. We first endured the customer that we had everything under control and we restore all content and completely dry out the basement. We did exactly that! Extracting the water comes first, we must then cut and dry the walls to make sure there is no moisture left, because then mold can start to grow. While the walls are being dried, we move onto to the contents. The contents were papers that had value to the homeowner. With extreme caution and the right equipment, we were able to restore all the content with out destroying it.

SERVPRO of Arcadia just wants to remind you that we do water remediation services as well as content drying.

Experiencing fire damage can be a very stressful situation. The leading cause of fires in a home or business most commonly occur when cooking or smoking. Fires can also caused by heating units and/or electrical issues.

    • Place dry towels on rugs, upholstery and carpet in high traffic areas.
    • If you turn off the electricity completely empty the refrigerator and prop doors open.
    • To prevent soot from sticking to chrome on kitchen/bathroom faucets or fixtures protect them by applying a small amount of petroleum jelly or oil.
    • Change HVAC filter
    • Tape double layers of cheesecloth over air registers to stop particles of soot from getting in or out the HVAC system.

Large Loss at Local Airport

1/16/2020 (Permalink)

This large loss was caused by an overnight storm. Over 12" of water affected nearly 7,000 sq ft. of office space, lobby and break-room areas.

We received the call early Friday morning and within an hour we had a crew on-site. They began the mitigation process by removing carpets, baseboards and cutting walls. Once that phase was complete our crew began the drying process by placing air movers and utilizing our desiccant. We used two generators to minimize any business interruption. After six days, the drying process was completed and ready for reconstruction.

At SERVPRO of Arcadia our technicians are all certified and ready to assist with any size damage. We specialize in effective drying procedures with our state of the art equipment. We are a 24-Hour emergency response service. We leave it, "Like it never even happened."

Discovering a Leak

1/14/2020 (Permalink)

Having a leak in your home or business can be very stressful, especially when the leak has gone unnoticed for an extended period of time.

Our technicians here at SERVPRO of Arcadia have special thermal imaging equipment  that can detect the non-invasive moisture in your home or business. This helps find the main source of the leak without creating unnecessary damage to the structure.

Water damage that you can not see is the most dangerous because it can spread without your knowledge. Pipes usually aren't exposed, making it difficult to detect when there is a leak.

Trying to identify where the problem is on your own may be difficult, as well as attempting to mitigate the damage without any help from a professional. Here are some tips on what you can do before SERVPRO heroes arrive:

    • Shut off the water valve leading to the pipe.
    • Stop the leak until you can repair or replace the pipe.
    • Turn on the faucets, to drain water left in the pipes.
  • Call SERVPRO of Arcadia (626) 447-4128

When our clients are at ease, it means making it “Like it never even happened,” that much easier. We appreciate the patience and great feedback we have received from our customers.

Water Mitigation Leads to Mold Remediation

1/22/2018 (Permalink)

A job usually turns into a mold remediation after the affected area has experienced some type of water damage. That’s why it’s important to contact SERVORO right away to get started on fixing the problem before it gets worse.

Primary loss site is the kitchen. The walls and cabinets in the kitchen had high moisture readings. We had then learned that the water traveled to other rooms, so we immediately ran our moisture tests and discovered moisture in the other rooms. Once we got permission to remove the hard would floor, we saw that mold had started to grow. The picture is of mold underneath a staircase where the water traveled down to. The mold remediation process has now begun. Our technicians must remove the mold off both the walls and studs. Mold remediation must be done with extreme caution to ensure the mold can’t affect any other areas.

What You Should Know About Mold

1/22/2018 (Permalink)

Mold is very interesting, but gross at the same time. We here at SERVPRO want you to know if you have a mold problem, we can take care of it. However, there are some things about mold that you should know. When you hear the term "black mold", you may think that its very harmful. What you should know is that mold can be all colors and its color doesn't dictate how harmful it may be. The color of mold may vary, due to whatever type of material it is consuming. Mold releases spores and may cause an allergic reactions, no matter what color or what type of mold it is.

Just keep in mind SERVPRO of Arcadia, has highly trained technicians who specialize in mold remediation.

What is Mold?

1/11/2018 (Permalink)

Mold is a type of fungus. It can be found both indoors and outdoors. Research has shown that mold grows best in humid, warm and moist environments. Mold commonly occurs in homes during the winter because of the significant amount of moisture in the air. Below are the common types of molds found indoor.

  • Aspergillus - grows on dust, food made from powder, and most commonly found on drywall.
  • Cladosporium - can grow in both cool and warm environments and is typically found on fabric and on the surface of wood.
  • Penicillium - often has a blue or green color and is typically formed on objects that have been affected by water.
  • Alternaria - is found in most common damp areas, such as showers or under sinks.

SERVPRO of Arcadia is open 24-hours, don’t hesitate to call us at anytime. We can have a team of professional technicians, to start on your mold remediation right away. We’ll make it, “Like it never even happened.”

Don't Let Mold Trick You

1/11/2018 (Permalink)

The beginning of the year, usually starts us off with cold and wet weather. Durning these times, you may notice an increase of moisture in your home. Wether it be on your walls, books, clothes, your child’s toys, mold can grow there. Mold is easier to deal with because you can see it. However, mold spores can be found everywhere and they’re invisible to the naked eye. Spores are found both indoors and outdoors and can travel through your home in many different ways. For example, open windows and ventilation systems are primary ways mold spores can enter your home. The way mold begins to grow is only if the spores were to land on a surface where there’s an excessive amount of moisture. As a reminder, SERVPRO of Arcadia specializes in Mold Remediation. Give us a call today for a free estimate (626) 447-4111.

Signs of Mold

1/8/2018 (Permalink)

How can you tell if you have mold in your home? Mold has a very distinct and musky smell to it. If you start to notice a very disturbing smell coming from certain walls or platforms in your home, the chances are mold is growing in that area. However, in order to determine whether or not you have mold in your home, an environmental testing company must do the proper tests for our technicians to operate. As you may know, mold can get you sick. It is best that you stay away from the affected area and under no circumstances should you touch mold or clean it yourself. Being exposed to mold can cause excessive sneezing, runny noses, red eyes and even rashes. That’s why it’s best that you call a professional like SERVPRO of Arcadia, who have the proper knowledge, equipment and highly trained technicians that specialize in mold remediation. We take pride in resolving your mold issue and leaving it, “Like it never even happened.”

Pasadena Ronald McDonald House

Pasadena Ronald McDonald House

The season of giving is upon us and this year we were able to spread some Holiday cheer, to the children at the Pasadena Ronald McDonald House. The House does so much for these children and their families while they receive treatment in the surrounding hospitals. Being able to donate our time with children was a reward in itself. Despite their condition they had positive attitudes and personalities that were larger than life.

We spent the afternoon decorating Christmas stockings. The children were very creative and seeing them smile and forget about their condition for those few hours, was definitely priceless. One of the children we met was Jesus, he had such a charismatic personality and he had a ball decorating several different stockings.

Thank you Pasadena Ronald McDonald House for everything you do, we appreciate the opportunity of being able to give back!

Jack O' Lantern

10/4/2016 (Permalink)

Halloween is around the corner. SERVPRO of Arcadia would like to share some tips on how to keep your Jack O' Lantern (Pumpkin) from getting moldy fast!

Follow these easy steps:

  1. After your pumpkin has been carved, rinse it out with water to get rid of excess strings and gunk.

  2. Take a large bucket or tub and fill it with three gallons of water.

  3. Stir three teaspoons of bleach into the water.

  4. Dunk in the pumpkin.

  5. Then you add silica by removing the top of the pumpkin. Take a silica bead and embed it into the interior of the pumpkin. Do not stick the bead in so far that it changes the appearance of the pumpkin's exterior.

Silica packets are largely available with the following items:

  • Beef jerky

  • Shoes and shoe boxes

  • Cat litter

  • New purses or wallets
